What it does.

  1. Who has access, right now.

    Replaces the paper keyholder book. Physical keys, access cards, fobs, door codes and biometric access, each tracked from issue to return.

    • Five key types: physical, card, fob, code and biometric
    • Issue to a team member, or by name to someone without an account
    • Statuses: active, returned, lost, deactivated and spare
    • Lost keys counted at the top of the register

  2. Consumption tracked over time.

    Electricity, gas, water and oil. One row per reading, with consumption worked out between readings and charted across the building's history.

    • Four meter types: electricity, gas, water and oil
    • Readings entered by hand from a phone or desktop, with the unit set by meter type
    • Reading date, value, unit, meter reference, notes and who took it
    • Total, average and peak consumption, plus recent against earlier readings

Questions.

Is this real access control?

No. It replaces the paper register and is not connected to door hardware. If you have an access control system, it stays in charge; this register records what has been physically issued.

Do you integrate with smart meters?

Not at the moment. Readings are entered by hand, and the form works on a phone so staff can add them on the spot.

Can I attach a photo of the meter?

Not at the moment. Each reading records the date, value, unit, meter reference, notes and who took it.

How do I spot unusual consumption?

Each meter type shows total consumption, the average per period and the peak period, with a line chart of the full history. Recent readings are compared with the earlier half, and a rise of more than 5% is highlighted.

Cost tracking?

Not at the moment. Consumption is recorded in units such as kWh, cubic metres and litres, with no tariff or cost calculation.
